About the Role
This is a varied and engaging role supporting the Family team in the Wellington office, combining legal secretarial duties with reception responsibilities. You'll be working closely with experienced Family Solicitors, providing essential administrative support whilst also being the welcoming face of the office when covering reception. The role offers excellent variety and the opportunity to develop your skills across both legal secretarial work and front-of-house duties. This is an ideal position for someone with a legal background who enjoys client interaction and working as part of a close-knit team.
Legal Secretary/Receptionist Responsibilities
- Conducting matters on behalf of clients in a professional manner
- Providing a friendly, courteous, knowledgeable, and professional service
- Using case management systems and Microsoft Office suite (Word, 365, Outlook, Excel) to produce correspondence, documents, presentations, records, and accounts
- Attending meetings where necessary and assisting with note-taking
- Creating, photocopying, and printing documents as required
- Overseeing diary management for meeting rooms and maintaining meeting room facilities
- Meeting all deadlines within specified timeframes
- Ensuring prompt response to telephone calls with accurate notes taken, recorded, and passed to appropriate staff without delay
- Handling all postal duties including opening, dating, sorting, distribution, and franking
- Offering general support within the team/office as required
- Complying with all firm policies and procedures at all times
Legal Secretary/Receptionist Requirements
- Previous experience within a similar legal secretarial or legal support role
- Basic knowledge of Windows operating systems and Office 365
- Ability to work independently and manage multiple tasks efficiently
- Strong communication and interpersonal skills
- Ability to manage time effectively and prioritise tasks
- A team player with a positive and service-oriented attitude
- Willingness to learn and adapt to new technologies
- Professional telephone manner and welcoming approach to client interaction
- Strong organisational skills with excellent attention to detail
- Ability to remain calm and efficient in a busy office environment
